Job Title: Co-Director, Operations

Job Purpose: works with other Co-Directors in managing day-to-day activities for Orca Network 

Reports to: Orca Network Board

Pay: $30/hr

Orca Network is dedicated to raising awareness about the whales of the Pacific Northwest and the importance of providing them with healthy and safe habitats, and finding ways for people to work together to protect the rich, beautiful, and diverse habitats and inhabitants of the Salish Sea. As we enter our 25th year, we are moving to a collaborative leadership model and seek the perfect candidate to fill the new position of Co Director, Operations. 

This full time position will work closely with the Co Director, Programs, the Creative Director, and the Financial Director to provide leadership and oversight of Orca Network’s daily operations. The successful candidate will join a pod of passionate marine mammal  proponents who connect people with the whales and  other marine mammals of the Pacific Northwest through our Langley Whale Center facility, our Whale Sighting Network, the Central Puget Sound Marine Mammal Stranding Network and our education, advocacy, and Toki’s Legacy Programs.

Job Responsibilities:

  • Leadership & Strategic Planning

  • Complete and file Secretary of State Nonprofit and Charity annual reports

  • Network, reach out to stakeholders,and build ON community

  • Attend meetings with stakeholders, funders, agencies

  • Work with the Financial Director on annual budget and program budgets (in partnership with Program Coordinators), and with the Finance committee and Co-Directors to review financial reports on a monthly basis.

  • Work with the Finance Director, Bookkeeper, and Accountant to ensure the annual 990 is filed correctly and on time.

  • Assist with Fundraising and grant opportunities, working with Development Coordinator and Board of Directors Fundraising committee.

  • Oversee financial entries into quickbooks, work with the Financial Director, Bookkeeper and Treasurer to supply invoices, deposits, and monthly bank statements.

  • Oversee and work with the Board of Directors to maintain Board Manual, Employee manuals. Maintain updated Financial Process documentation and manuals, and reviews all financial reports with the Financial Director.

  • Attend and assist with monthly Board Meetings and Retreats.

  • Manage all personnel files, new employee checklists, and human resources needs.

  • Lead and maintain regular outreach to Stakeholders through a variety of platforms.

  • Manage and address personnel issues with staff as they arise.

  • Assist with ON events throughout the year. 

  • Oversee grant applications and reporting dates.

  • Maintain compliance and oversee risk management for organization.

  • Research new and alternative tools and resources for Operations Management, continue and encourage use of tools by others, including platforms like Catchafire, Google, Better Impact, Givebutter,etc.

  • Approve material to be printed or published 

  • Dedicate time to regular staff meetings and check-ins with direct reports,  and maintain regular, weekly communication with Co-Directors.

  • Follow Communication Standards as described in Orca Network’s Communication Charter.

  • Inspire a collaborative environment with remote employees.

The successful candidate will:

  • Demonstrate passion for the organization’s mission and programs.

  • Thrive in a mostly remote work environment.

  • Be available to begin work immediately.

  • Live within the Puget Sound watershed and be able to travel locally for events and occasional in-person meetings.

  • Hold a Bachelor’s degree in Business Administration or equivalent experience.

  • Have 5+ years nonprofit operations experience including strategic management and fund development.

  • Demonstrate the ability to work both collaboratively, and independently without supervision.

  • Demonstrate excellent written and verbal communication skills.

  • Be proficient using a personal computer and standard business software applications (Microsoft Office Suite and Google Workspace).

  • Demonstrate problem solving skills and decision-making ability.

  • Demonstrate willingness to learn about and work with multiple programs within Orca Network.

  • Possess key competencies, including conflict management, business negotiation, and organizational operations.
